Large groups

Planning a surau or community group trip

Everyone is looking to you to keep the coach moving and the jemaah together.

A group of this size does not fail on the sights. It fails on the small waits: a long wuduk queue, a restaurant that was never told the headcount, a coach that left before everyone came back. Give each of those a named owner, and plan prayer as shifts rather than one gathering.

Who does what in a big group?

One leader cannot watch the coach, the plates and the prayer rooms at once. Split the work before the first deposit.

  • Trip leader: the single voice to the agency, and the person who decides when the schedule changes.
  • Prayer coordinator: usually the imam or bilal, who names the prayer stops and the order of the jemaah.
  • Meals coordinator: sends the group size and meal rule to every restaurant and keeps the replies.
  • Coach captain: counts heads at every boarding and keeps the seat plan.
  • Welfare lead: looks after older members, children and anyone who needs medicine on time.

If your group spans grandparents, parents and children, our group organiser’s checklist adds the questions to ask each family before you book.

How do you run the coach around prayer?

Mark each prayer window on the day’s route, then pick stops where a group can actually pray. A big mosque or a rest area with space for wuduk works better than a roadside stop with one tap.

  • Give the driver the plan in writing, including where the Zohor and Asar stops fall.
  • Ask for stops long enough for shifts. A stop for prayer takes longer than a toilet break.
  • Seat older members near the door, and keep the day’s driving short enough for them.
  • Count heads each time the doors close.

Departing on a Friday? The klia2 website states that airport management provides four free buses, two at each terminal, to Sultan Abdul Samad Mosque at KLIA for Friday prayers1. Check the airport’s page before you fly, because services change.

How do you pray in shifts?

Decide the order before the stop, not at the door. Two or three jemaah, each with its own imam, keeps the queue moving. While one group prays, the next makes wuduk and the last one rests.

Tell women where their space is before you arrive. Bring a few spare mats, and ask the venue’s staff for permission before you set up in a public space. If anyone wants to combine or shorten prayers while travelling, that is a decision for them and their own ustaz or state mufti office. The plan only needs enough time for both.

How do you feed a large group?

Send the group size, the date and your meal rule to each restaurant early. Ask them to confirm in writing, and ask for the claim state of the meal: certified, Muslim-owned, pork-free or unknown. Our group meal-request list has the wording.

A restaurant that cannot confirm is unknown, which is never the same as halal. Carry dry food so that a late or cancelled meal does not leave the oldest and youngest members hungry. A hotel buffet is a particular case, because shared utensils and sauces are hard to check for a whole room.

What do you confirm in writing?

Ask the agency to write down the coach stops for prayer, the restaurant for each meal and the contact who answers on the road. Running a tourism business without a valid licence can lead to a fine of up to RM500,000, imprisonment of up to ten years, or both2. Pay only a company that has passed the licence check, and keep the deposit receipt in the company’s name.

Your next step

Hold one short committee meeting to hand out the five jobs. Then use planning sightseeing around five daily prayers to mark prayer windows on your route. The families, couples and groups hub links the rest.

If you tell us the size of your group, the number of older members and where you want to go, we can help you split the jobs and draft the written questions for the agency.

Common questions

How do we pray together when the group is too big for the room?

Pray in shifts. Split the group into two or three jemaah, each with its own imam, and stagger them so wuduk queues stay short. Tell the group the order before the stop, so people know when to wait and when to refresh.

Who should brief the coach driver?

The trip leader, together with the prayer coordinator, in writing and again on day one. Cover stops for prayer, the Friday plan, a head count at every boarding and the slower pace needed for older members.

Can a restaurant feed a big group at short notice?

Rarely well. Send the group size, the date and your meal rule early, and ask the venue to confirm in writing. Treat a restaurant that will not confirm as unknown, and plan a fallback meal for the whole group.

Is a community group trip different from a normal tour package?

The arrangements are the same, but the numbers magnify every gap. A missing prayer room is a small problem for one family and a large one for a whole coach. Ask the agency about stops, meals and the licence before the deposit.
