Which arrangements must be confirmed in writing?
You cannot chase every small promise, so you want to know which ones really need a paper trail.

Put in writing anything that would cost you money or break your observance if it fell through. Say aloud, or mark as “requested”, the comforts that would only be a pity to lose. That one test sorts nearly every promise a supplier makes.
How do I sort a promise?
Ask yourself one question: if this does not happen on the day, can I fix it myself in the same hour? If you cannot, write it down. Missing a meal that meets your standard cannot be fixed at a coach stop. A quiet floor can be tolerated.
Which arrangements rank highest in risk?
| Rank | Arrangement | Why it matters | In writing? |
|---|---|---|---|
| 1 | Meal standard on tour days | Cannot be undone once eaten | Yes, exact wording |
| 2 | Refund and change terms | Costs money if unclear | Yes |
| 3 | Prayer stops in the itinerary | Skipped stops affect the whole day | Yes, by prayer window |
| 4 | Room type, connecting rooms, bed count | Decides whether the family fits | Yes |
| 5 | Prayer mat, qibla, wuduk space | Matters daily, but fixable | Written if possible |
| 6 | Seat, floor or view preferences | Comfort only | Verbal or “requested” |
What should the meal line say?
Name the standard, the meals it covers and the fallback. For example: “Lunch and dinner on tour days are at venues holding a halal certificate from a body on JAKIM’s recognised list. If a venue cannot show it, the guide arranges an alternative approved by us.” Replace “approved by us” with your own rule.
Hotel and tour descriptions can mislead here. The Korea Tourism Organization warns that hotel restaurants and buffets categorised as Muslim-friendly may serve dishes that contain pork1.
So “halal options available” at a buffet is not enough. Ask which dishes, prepared where. Our guide to the five halal claim states gives the words to use.
What should the prayer line say?
Name the prayer and the window, not a clock time: “The coach will stop for Zohor and Asar on every sightseeing day, at a location with a prayer space, for long enough to pray.” If the stop depends on traffic or the guide’s judgement, ask for that to be stated as well. A guide who says “we will try” has not promised a stop. The prayer-stop itinerary checklist lists what a day plan should show.
What should the room line say?
Write the room type and the number of beds, not “family room”. If you need connecting rooms, say that two rooms must be booked connecting, and ask what happens if the hotel cannot supply them. Keep floor and view as requests.
What do I do with the written reply?
Keep it with the invoice. Tick each line against your own list when the confirmation arrives. Then compare two offers with the Muslim-tour inclusion comparator, which has a column for written versus verbal. Our guide to comparing two Muslim packages shows the day-by-day method.
For the meal questions to send first, see questions to ask a tour operator about halal meals. The booking hub collects the rest of the checks before you pay.

Common questions
Does a WhatsApp message count as writing?
For practical purposes, yes, as long as it comes from the supplier's official number or email and you keep a screenshot with the date visible. Better still, ask them to add the line to the booking confirmation or itinerary so it travels with the document the guide and the hotel see.
What if the supplier refuses to put a meal promise in writing?
Treat that as an answer. If they will not write it, they are not sure they can deliver it. Ask what they can write, for example the restaurant name or a fallback meal, and decide whether that is enough for your standard. If not, compare another offer.
Is it rude to ask for everything in writing?
Not when you keep it short. Suppliers handling group bookings expect to put inclusions on paper. Ask for the few items that matter most and say it is so everyone in the family has the same plan. A polite request is rarely taken badly.
Which one item should I never leave verbal?
The meal standard on tour days. If you only eat certified food, the written line should say who checks that, which meals it covers and what the fallback is. A prayer stop that is missed can be made up. A meal eaten cannot be undone.
Do hotel room requests need to be written too?
Yes for the ones that decide whether the family fits, such as connecting rooms, a ground floor for a parent or two rooms booked together. Wishes like a quiet floor can be marked 'requested', so that you know they are not promised.
