Group trips

Planning a surau or mosque group trip abroad

You carry the members' money and trust, and the committee needs a plan everyone can follow.

A committee taking 30 to 50 members abroad should split the work into named roles. Collect money in stages tied to supplier deadlines, and write the prayer plan before choosing the itinerary. If one volunteer carries money, passports, food and prayer, something will slip. This page gives you the split, the schedule and the questions.

Who should own which job?

Give each role one owner and one deputy.

RoleOwnsHands over to

TreasurerAccount, receipts, payment calendarAuditor or deputy
RegistrarMember list, passport copies, emergency contactsTrip lead on departure
Prayer coordinatorImam or lead for the trip, prayer stops, wudu planTrip lead
Food coordinatorMeal questions, claim states, fallback foodPrayer coordinator for mealtimes
Welfare officerElderly and unwell members, wheelchairs, medicinesTrip lead
CommunicationsGroup chat, briefing, daily messageRegistrar

The registrar holds personal data, so collect only what the trip needs and keep it in one place. The PDPA regulates how personal data is handled in commercial transactions1.

How should the deposit schedule work?

Tie every payment to something a supplier has asked for. Ask the agency for its payment calendar first, then build yours behind it.

StageWhat members payWhat the committee must have
InterestNothing, names onlyA draft member list
RegistrationA deposit that covers the first supplier paymentSigned form, receipt, passport copy
InstalmentsSmaller amounts, each before a supplier dateA tracking sheet and monthly reminder
BalanceThe remainder, before the agency’s final dateWritten confirmation of every inclusion

Hold the money in an account in the committee’s name with two signatories. Add a small reserve for a member who falls ill. Say in writing what happens to a member’s money if they withdraw.

How do you plan prayer for a large group?

A group this size cannot assume a prayer room will fit everyone. Ask each stop whether the whole group can pray at once or must go in turns, and plan wudu queues.

  • On the coach: ask the agency to schedule stops for Zohor and Asar, and name the prayer rather than a clock time.
  • Friday: Kuala Lumpur International Airport (KLIA) has a rooftop prayer hall for Friday prayers2, and airport management runs four free buses to Sultan Abdul Samad Mosque at KLIA3. Check the klia2 site for current arrangements.
  • Women: ask for a separate space at every stop.
  • Fiqh questions: for jamak and qasar (combining and shortening prayers while travelling), ask your own ustaz or state mufti office before departure and brief everyone the same way.

Use the prayer planning guide to place the prayers into each day.

What do you send the agency?

First confirm the licence. Running a tourism business without a valid licence can lead to a fine of up to RM500,000, imprisonment of up to ten years, or both4. Our guide to checking a Malaysian travel agency licence shows the steps.

Then send these questions, and keep the answers.

  • “We are a mosque or surau group of [number]. Which meals are included each day, and is there a halal certificate we can see for each?”
  • “Can the group pray together at each stop, or in turns? Where is wudu?”
  • “What is your payment calendar, and what happens to our money if members withdraw?”

See questions to ask a tour operator about halal meals for more, and which arrangements to confirm in writing for the final check.

Your next step

Name your seven owners this week, then collect two or three quotes and compare them with the Muslim-tour inclusion comparator. For related pages, visit families, couples and groups.

Send us your member count, rough departure season and who will sit on the committee, and we will help you draft the role list and the questions for the agency.

Common questions

How many committee members should run a trip for 30 to 50 people?

Enough that each of the seven roles has one named owner, with a deputy for money and documents. Small committees can combine roles, but never put the treasurer and the registrar of passport copies on one person. The key is that every task has a name next to it.

Can we collect money into a personal account?

Avoid it. Collect into an account held in the committee's name with two signatories, and give every member a receipt. Check your own committee rules and any guidance from your state religious authority on how funds should be collected and held.

How do we pray together when the group is large?

Ask each venue whether the whole group can pray at once, or whether you must go in turns. Appoint one person to lead and one to time the turns. Plan wudu queues, a separate space for women, and spare time at the start of each stop.

Do we need a licensed agency for a mosque group?

Ask for the MOTAC licence of any agency that sells you transport, accommodation or tours, and check it yourself before paying. You are handling members' savings, so the check protects the committee as well as the group. Our licence-check guide shows where to look it up.
