Cancellation questions to ask before paying a deposit

You are collecting deposits from a group and need to know what happens if the plan changes.

Ask who can change the plan, and what each change costs you. Three people can change a trip: you, someone in your group, and the supplier. Each needs its own question, and each needs its answer in writing before a deposit moves.

What do I ask when I change the plan?

  • “What is the last date I can cancel for a full refund, and what is the fee after that date?”
  • “Can I move the booking to another date? Is there a fee, and does the price change?”
  • “Is the deposit refundable, partly refundable or not at all?”
  • “If the refund is partial, which costs are kept: the deposit, flights or hotels already paid?”

Ask for the dates as calendar dates, not “two weeks before”, because the second can be argued.

What do I ask when someone in my group drops out?

  • “Can we replace a name until a set date, and is there a fee for changing it?”
  • “If the group falls below a number, does the price per person change?”
  • “Do airline tickets in the booking allow name changes, or are they fixed?”

For a mosque, office or family group, this is the question that matters most. One person withdrawing can change the room share for a few others.

What do I ask when the supplier changes the plan?

  • “What happens if the tour does not reach its minimum numbers?”
  • “If a hotel or flight changes, do we get a refund, a substitute or a transfer?”
  • “Who decides, and how soon will we be told?”
  • “Will a changed itinerary still keep the prayer stops and meal arrangements in the original booking?”

The last question is easy to forget. A substitute hotel may not have the room type or the meal arrangement you booked. Ask for a written statement that the prayer and meal terms carry over.

What changes for festive bookings?

Hari Raya and Ramadan dates depend on moon sighting by the authorities. Ask: “If the public holiday moves by a day, can the booking move with it, and what is the fee?” Our guide on flexible versus non-refundable bookings around Ramadan and Hari Raya weighs the price gap against the risk.

What if the answers are vague?

A vague answer is itself information. Ask again for dates and amounts. If the supplier keeps avoiding them, think about whether you want to collect other people’s money under those terms.

Make sure the seller holds a licence; our guide on checking a Malaysian travel agency licence shows how.

Where do I put the answers?

Keep them in one document alongside the quote. Compare how two operators answer with the Muslim-tour inclusion comparator and comparing two Muslim packages day by day. The booking hub lists the other checks to do before paying.

Common questions

What is the most important cancellation question for a group?

What happens when one person drops out. Group tours price rooms and seats in blocks, so a single withdrawal can change the cost for everyone. Ask whether a replacement name is allowed, until what date, and whether a fee applies. Get the answer before you collect any money.

Should I ask about the supplier cancelling?

Yes. Ask what happens if the tour does not reach its minimum numbers or if a hotel or flight changes. You want to know whether you are offered a refund, a transfer or a substitute, and who decides. The answer shapes how safely you can collect deposits from others.

How do I handle a Raya booking whose date may move?

Ask whether the booking can be moved by a day or two if the moon sighting changes the holiday, and whether any fee applies. A supplier who has dealt with festive dates before will have an answer. If not, consider a more flexible fare or a later deposit.

Where do I complain if a supplier does not honour the terms?

Start with the supplier in writing, keeping all messages. If the company is a Malaysian tourism business, MOTAC invites the public to report suspected rule breaches through its complaints system, and you can check its current address on the official site.
